Want to learn more about our contract analysis? Here you'll find answers to the most common questions about our process, the effort involved, the data behind our benchmarks, and how we work together, clear, compact, and transparent.

Where is our data processed?

Exclusively within the European Union. No transfer to third countries (e.g. the USA) takes place.

Do you sign a data processing agreement?

Yes. Before the project starts, we conclude a data processing agreement with you in accordance with Art. 28 GDPR.

How long do you store our contracts?

Only for as long as the project requires. After completion we delete the documents provided to us; on request we confirm the deletion in writing. Statutory retention obligations remain unaffected.

Who has access to our data?

Only authorised persons on a need-to-know basis, within our information security management certified to ISO/IEC 27001. Transmission and storage are encrypted.

Why should an existing service contract be reviewed at all?

Many service contracts are renewed year after year without their terms ever being compared against the market. Over time, prices, scope of service, and contractual conditions can gradually drift away from the current market level. Our analysis shows objectively whether your contract is still in line with the market today, and where optimization potential or commercial risks exist. This gives you a sound basis for your decisions.

Which service contracts and manufacturers can be analyzed?

We analyze service contracts across nearly all areas of medical technology, independent of the manufacturer. This includes, among others, imaging systems, radiation therapy, laboratory technology, sterilization, surgical technology, and other medical and technical equipment.

Do we also have to engage you for the negotiations?

No. Many clients use our analysis solely as a basis for their own discussions with the manufacturers. If you wish, we additionally support you with strategy, preparation, or the negotiations themselves. How far we accompany you is entirely your decision.

How do you know what price is in line with the market?

Our assessments are not based on estimates or manufacturer figures, but on our benchmark database of more than 5,500 analyzed service contracts. This allows us to compare prices, contractual terms, and scope of service objectively, and to derive market-appropriate target values. That gives you a robust basis for decisions and negotiations.

How much effort is required from our team?

Our analysis process is deliberately designed to keep your internal effort as low as possible. Once the relevant contract documents have been provided, we usually only need a single point of contact for questions and approvals. We handle the majority of the analysis, so your day-to-day operations are barely affected.

What commitments do we take on with an analysis?

By commissioning the analysis, you commit solely to carrying out the agreed contract assessment. You then decide for yourself whether and to what extent you want to implement our recommendations or make use of further support. There is no obligation whatsoever to engage us for negotiations or implementation.

Do you work independently of manufacturers?

Yes. Contract Cost Care is fully manufacturer-independent and receives no commissions or payments from manufacturers or service providers. Our recommendations are guided solely by the interests of our clients and are based on objective market and contract data.

How is Contract Cost Care compensated?

Our collaboration begins with a transparent analysis fee. If you then decide on a joint implementation, this fee is credited in full. For a successful optimization, we receive a success-based fee of 30% of the savings actually realized. In other words, you only pay when our work demonstrably delivers savings.

What happens if there is no optimization potential?

Then we tell you exactly that. Our goal is not to find savings in every contract, but to provide an objective assessment. If your terms are already in line with the market, you gain the certainty that no action is currently needed. That, too, is a valuable result for your planning and decision-making.

Do the scope of service and service quality remain unchanged?

Yes, that is our standard. The goal of contract optimization is not to reduce services, but to achieve commercially better contract terms. Scope of service, system availability, and patient safety always remain central. We do not make recommendations that would compromise these aspects.
